Setting Up Google Workspace for Cold Email

Google Workspace (formerly G Suite) is one of the most popular choices for cold email infrastructure. Gmail's robust infrastructure and spam filtering make it excellent for outbound campaigns. This guide covers everything you need to set up Google Workspace optimally for cold email.

Why Google Workspace for Cold Email?

Google Workspace offers several advantages for cold email campaigns:

  • Familiar Interface: Most sales teams already know how to use Gmail

  • Integration: Works with virtually every cold email tool

Initial Setup Steps

1. Sign Up for Google Workspace

Visit workspace.google.com and sign up for a Business Starter plan. You'll need:

  • Your domain name (must own it already)
  • Admin email for account setup
  • Payment information

2. Verify Domain Ownership

Google requires you to prove you own the domain. Common verification methods:

  • TXT Record: Add a verification TXT record to your DNS (recommended)
  • CNAME Record: Add a CNAME record pointing to Google
  • HTML File: Upload a verification file to your website

3. Create User Accounts

In Google Admin Console, create mailboxes for your sending personas:

  • Use realistic first.last@domain.com format
  • Create 2-3 mailboxes per domain
  • Set strong passwords (or use generated app passwords later)

DNS Configuration

Configure these DNS records for optimal deliverability:

MX Records

Priority 1:ASPMX.L.GOOGLE.COM
Priority 5:ALT1.ASPMX.L.GOOGLE.COM
Priority 5:ALT2.ASPMX.L.GOOGLE.COM
Priority 10:ALT3.ASPMX.L.GOOGLE.COM
Priority 10:ALT4.ASPMX.L.GOOGLE.COM

SPF Record

v=spf1 include:_spf.google.com ~all

DKIM Setup

Enable DKIM in Google Admin Console:

  1. Go to Apps > Google Workspace > Gmail > Authenticate Email
  2. Click "Generate New Record"
  3. Add the generated TXT record to your DNS
  4. Return to Admin Console and click "Start Authentication"

Mailbox Configuration

Profile Setup

For each mailbox, configure a complete profile:

  • Profile Photo: Use a professional headshot (real or AI-generated)
  • Display Name: Full name that matches email address
  • Signature: Professional signature with name, title, company, contact

Security Settings

Enable Less Secure Apps / App Passwords

For IMAP/SMTP access (required by sequencers), you need App Passwords:

  1. Enable 2-factor authentication for the account
  2. Go to myaccount.google.com > Security > App Passwords
  3. Generate an app password for "Mail" on "Other"
  4. Use this password (not account password) for sequencer setup

Enable IMAP

IMAP must be enabled for sequencers to work:

  1. Open Gmail Settings (gear icon)
  2. Go to "See all settings" > "Forwarding and POP/IMAP"
  3. Enable IMAP Access
  4. Save changes

Sequencer Integration

Export your mailbox credentials to your cold email sequencer:
